Successful EHS data migration to S/4HANA: From Three to one

How do you bring data from three completely different systems (SAP ECC 6.0, non-SAP) into a single, future-proof platform? This was exactly the challenge faced by ACTEGA, a division of the internationally operating specialty chemicals group ALTANA. The migration of EHS data into a singular greenfield solution posed both a business and technical challenge, given the company’s broad product portfolio, highly demanding regulatory requirements, and heterogeneous processes.

About ACTEGA

ACTEGA develops, produces and distributes specialty coatings, inks, adhesives and sealing compounds with a focus on the packaging, graphic arts and medical industry. Production facilities in Europe, North and South America, and China enable ACTEGA to respond flexibly to customer requirements and offer technically advanced product solutions. Compliance with high safety standards, especially for the food, pharmaceutical, and toy industries, determines the company’s actions. ACTEGA is currently divided into eight individual companies worldwide and employs around 1,300 people.

The goal: Reliable and Always Up-to-Date Product Data with S/4HANA

ACTEGA is required to provide legally binding data for the digital creation of safety data sheets (SDS) and labels for thousands of products – an essential prerequisite for ensuring customers’ regulatory compliance. The highly dynamic nature of legislative changes in particular demands constant updates to this data. At the same time, information availability must be immediate—anytime, anywhere.

The established IT structures of ACTEGA’s eight individual companies, with their very different local ERP systems for handling business processes, had reached their limits in light of increasingly complex regulatory requirements. For this reason, ACTEGA decided to gradually harmonize its operations on a unified SAP system as its ERP standard. The first step was taken in 2016 with the introduction of individually customized ECC 6.0 versions at three sites. Since 2021, as part of a long-term master plan, the gradual conversion of additional locations to the SAP EHS module in a globally uniform S/4HANA environment has been underway.

On Schedule Through Teamwork - and Smart Tools like HELAFLASH

At the beginning of 2023, ACTEGA chose HELASOFT GmbH as its partner for strategic EHS consulting as well as operational technical support during implementation. The first part of the project, the merger of four German locations with different ERP architectures (combined with the merger into ACTEGA GmbH as a legal entity), was completed on schedule on June 1, 2025.

In addition to providing technical support to the ACTEGA EHS team, HELASOFT’s SAP Fiori-based software solution “HELAFLASH” played a central role. By automating the processing of data changes, HELAFLASH significantly accelerated the migration process. HELAFLASH will continue to support ACTEGA in data maintenance, new installations, and data analysis in its daily business.

Another HELASOFT solution also won ACTEGA over: HELASITE. This tool generates customized reports tailored to the requirements of the German Hazardous Incident Ordinance (12. BImschV) and provides a constantly up-to-date overview of the quantities of hazardous substances stored.

Next step: SAP S/4HANA Product Compliance

The next step is to transfer the EHS module to the “Product Compliance Classic Functionality” in order to be prepared for future SAP developments in the coming years. At the same time, the S/4 transformation will be will be rolled out to additional company sites.
